Workshop Terms & Conditions

These terms apply to all in-person workshops delivered by Gather & Create. Please read them carefully before confirming your booking.

1. Who we are

Gather & Create is a trading name of Natalie Lynn Ltd, a company registered in England and Wales (company number 13386905). Our registered office is Friars Walk, Tring, Hertfordshire, United Kingdom.

In these terms, “we” and “us” means Gather & Create. “You” and “the client” means the person or organisation making the booking. “Guests” means the people attending the workshop.

2. Booking and confirmation

2.1 To book a workshop, please submit an enquiry through our website contact form or email natalie@gatherandcreate.co.uk.

2.2 We’ll confirm availability and send you a written quotation.

2.3 Your booking is confirmed once you’ve accepted the quotation in writing, we’ve received payment and we’ve sent you a confirmation email.

2.4 By accepting the quotation in writing, you agree to these terms. If you’re booking on behalf of an organisation, you confirm you have authority to do so.

2.5 Our quotations are valid for 30 days from the date issued.

3. Payment

3.1 Full payment is due on booking to secure your date. We’ll hold a date only once payment is received.

3.2 All prices are shown exclusive of VAT.

3.3 Any agreed extras, such as additional guests will be invoiced after the workshop and are payable within 14 days.

4. Guest numbers

4.1 Your quoted price is based on the agreed number of guests.

4.2 Please confirm final guest numbers no later than 7 days before the workshop.

4.3 If guest numbers go down after this point, we’ll still charge for the confirmed number, as materials and staffing will already be allocated.

4.4 We’ll try to accommodate extra guests on the day, but can’t guarantee this. Any extra guests will be charged at the agreed per-person rate.

5. Cancellations and postponements

If you need to cancel or postpone

5.1 Please let us know in writing as soon as possible by emailing natalie@gatherandcreate.co.uk.

5.2 Wherever we can, we’ll offer to move your workshop to another date within the same season. Rescheduling is subject to our availability.

5.3 If you cancel, the following applies:

Notice given before the workshop What happens
More than 30 days Free reschedule, or a refund of 75% of the booking fee
14–30 days Reschedule with no extra charge, or a refund of 50% of the booking fee
Less than 14 days No refund, as materials will have been prepared

5.4 Any bespoke or branded materials, such as personalised or logo baubles, are made to order and can’t be refunded once production has started.

5.5 If you reduce guest numbers more than 7 days before the workshop, we’ll review this case by case.

If we need to cancel

5.6 In the unlikely event that we have to cancel, we’ll offer you a new date or a full refund of anything you’ve paid for that workshop.

6. Venue and access

6.1 You’re responsible for making sure the venue is suitable for the workshop. This includes enough space, tables, seating, lighting and access for unloading and setting up.

6.2 We need access to the venue at least 60 minutes before the workshop starts, and enough time afterwards to pack down.

6.3 Please provide parking or loading access where possible. Any parking charges may be added to your final invoice.

6.4 Please let us know in advance about any venue rules that may affect the workshop, such as restrictions on use of glitter, glue guns, open water or protecting surfaces.

7. Workshop materials and care

7.1 All tools and equipment remain our property unless we say otherwise. Guests keep the items they make.

7.2 Guests should take reasonable care when using equipment. You’re responsible for any loss or damage caused by guests beyond normal wear and tear.

7.3 We can’t be held responsible for stains or damage to clothing. We recommend guests wear suitable clothes.

8. Health and safety

8.1 Our workshops may use fresh and dried flowers, foliage, plant materials, wires, scissors, adhesives, inks and decorative products.

8.2 Some of these materials may cause allergic reactions or minor irritation. Please share this information with your guests before the workshop.

8.3 If any guests have concerns about the materials, please let us know in advance. Where possible, we can adapt materials or suggest alternatives. You don’t need to share guests’ names or personal health details with us.

8.4 We’ll explain how to use tools safely at the start of each workshop. Guests should follow our instructions at all times.

8.5 Children under 16 must be supervised by an adult throughout the workshop.

8.6 We do not provide food or drink at our workshops.

9. Photography

9.1 We may take photos during workshops for our website, social media and case studies. We’ll agree this with you before the workshop.

9.2 We won’t name individual guests in any images.

9.3 If you or any guest would rather not be photographed, please tell us before or during the workshop. If anyone later wants a photo removed, email admin@gatherandcreate.co.uk and we’ll take it down from our channels.

9.4 Please let guests know that photos may be taken. Our privacy policy explains how we handle personal information.

10. Events outside our control

10.1 We won’t be liable for failing to deliver a workshop because of circumstances beyond our reasonable control. These include severe weather, transport disruption, venue closure, illness or other unforeseen events.

10.2 If this happens, we’ll make reasonable efforts to reschedule. If we can’t agree a new date within 6 months, we’ll refund the amount you’ve paid, minus the cost of any bespoke materials already made.

11. Liability

11.1 We hold public liability insurance. Details are available on request.

11.2 Guests take part in the workshop at their own risk, and should follow the safety instructions we give.

11.3 We’re not liable for any indirect or consequential loss arising from the workshop, such as loss of profit or business.

11.4 Our total liability to you for any booking is limited to the amount you paid for that booking.

11.5 Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that can’t be limited by law.

12. Complaints

If you’re not happy with any part of your workshop, please email admin@gatherandcreate.co.uk within 14 days. We’ll do our best to put things right.

13. General

13.1 We may update these terms from time to time. The version in force when you confirm your booking will apply to that booking.

13.2 These terms are governed by the law of England and Wales. Any disputes will be dealt with by the courts of England and Wales.

13.3 If you’re booking as an individual rather than a business, these terms don’t affect your statutory rights. As our workshops are leisure services booked for a specific date, the 14-day cancellation period under the Consumer Contracts Regulations 2013 doesn’t apply.
